SIGN-IN
Go to the Career Services website
- The "Online Career Portfolio Sign-In" button can be found in the navigation panel on left side of the screen, towards the end of the list. Click the OLCP button.
- The next screen will be an explanation of the OLCP, various directions and updates about workshops and other miscellaneous information. Click the "Sign In" button at the top center of the page.
- Enter your KSU ID number (you can retrieve your KSU Number here). Note: remember that your KSU ID number is different than your WebCT Login.
- The first time you sign in, you will leave the password area blank.
- After the initial sign in, you must use your KSU ID number and the password you created.
- Click “I accept”
CREATING A PASSWORD AND MAJOR
The first time you sign in, you will be able to create your password and to specify your major. You will be asked to type the password twice to verify it. The password CANNOT be changed, so be sure to use something that you will be comfortable with and that you will be able to remember. You can also specify your major (or choose "Not Declared") from the pull-down list. If you change your major e-mail with your KSU number and your new major.
- The student's e-mail address is set to their @students.Kennesaw.edu e-mail. Students can log into their student accounts and have the @students.kennesw.edu email forwarded to an e-mail address of their choice.

The Student Main Menu has links for the following functions:

LEARN ABOUT PORTFOLIO
Students can find answers to some of their questions by clicking on “Learn About Career Portfolio”. There is are sections with Portfolio Examples and Frequently Asked Questions, and the "Ask an Expert" function.

- gives sample entries into various categories so students can better understand what they can enter.
- Frequently Asked Questions
- offers answers to the general questions that Career Services receives the most. Students should look here first, then if they still need help, they should use the "Ask an Expert" feature.
- Ask an Expert
- if students have a technical question that is not listed, they can put their first name, last name, e-mail address and type in their question. Questions concerning the department requirements should not be sent to the expert but to the professor. Questions will be answered within two business days.
SETUP CAREER PORTFOLIO
Information on the Setup page is grouped into 4 boxes for clarity.
- In the first box (upper left of the page), students can select the categories that will appear in their Portfolio. Inside this box are two selection lists, identified as "Categories" and "Selected Categories". Initially, the "Categories" list shows all the basic categories that have been preset by Career Services, and the "Selected Categories" list is empty. A student can select a category to go into their Portfolio by highlighting the category and clicking the right arrow button on the screen; this action will move the category to the "Selected Categories", making this category viewable in the student's Portfolio. Note that the category no longer appears in the "Categories" selection list. To remove a category from the Portfolio, highlight the category in the "Selected Categories" list and click the left arrow button on the screen; this will move the category back to the "Categories" selection list. When a category is moved out of the Portfolio, any information that has been entered in the category will still exist; however, it will no longer be viewable or editable until the category is added back into the student's Portfolio.
- A student is allowed 9 categories in their Portfolio. Although you may, during the process of setting up your categories, have more than 9 categories in the "Selected Categories" list, you will not be able to save your changes until you remove the extra categories.
- The next box on the right, identified as "Adjust Category Order", has buttons to allow a student to reorganize their categories in the order they wish. To reorganize categories, there must be more than one category in the portfolio.
- The small box in the upper right corner of the page shows the student's name, major and e-mail address. These fields are display-only.
- The box in the lower left is identified as "Rename Custom Categories". This box allows the student to create up to 5 personalized categories for their portfolio. To create a custom category, highlight a custom category line and type over the words with the name of the new category (max 18 characters). After typing the new custom category name, click the "Submit" button on the lower right side of the screen. This will take the student back to the Student Main Menu. Go back to Setup Career Portfolio and you will see your newly named custom category in the “Categories” box (or in the "Selected Categories" box, if it had already been moved into the Portfolio).
- The final box in the Setup Career Portfolio is the Layout box, which allows the student to select how the portfolio looks. There are 3 choices: Black notebook, Gold notebook or a Black file cabinet. Select the desired design then click Submit.
BUILD AND EDIT PORTFOLIO
This function allows the student to add information to their Portfolio categories and to updated information previously added. Each category in the student's Portfolio is represented by a tab (on one of the notebook designs) or a folder (on the file cabinet design). Click on a tab or folder to which the student wished to add an experience. A summary page will open and the student will see “No Experiences Saved”. To add an experience click on the add experience button. This will take the student to the template where they will add their information. All of the templates are the same. The only variations will be the gray box (i.e. in the employer box it has position and in coursework it has course name and date.) The information in the gray box is required—the student will not be able to save the experience or add a file until this information is completed.
REARRANGING MY EXPERIENCES
Once you have added experiences, you can reorder them by using the 'move up' and 'move down' buttons on the right side of the screen.
THE SKILL SETS
The skill sets are to the right of the gray box. The skill sets are the foundation of the portfolio. The skill set section allows the student to reflect on the experiences they gained during that time. A definition of each skill can be found by clicking on the skill. Also, the skill box can be expanded so that the student can have a larger area to type.
ADDING A FILE
At the bottom left hand corner of the screen the “Add File” box allows students to add files to validate their experiences. To add a file, type the filename and a description of the file, then locate the file-using Browse. Then click “Add file”. The file will be displayed under “Saved files”.
- There is no limit to the number of files the student can save to their portfolio.
- When adding a file, remember that whoever opens the file must have the program you have or the file needs to be saved as universal file (such as Word document, PDF file, etc.) However, there is no restriction on the types of files thare are able to be uploaded: pictures, PowerPoint presentations, video files, etc.
- File names should be kept as simple as possible. DO NOT use special characters such as apostrophes or dashes.
- If the student wishes to add a video file, the Presentation Technology Department (PTD) on the 4th floor of the Library can help them transfer their video tapes to a digital format. Keep video segments small (60 seconds is recommended)—the larger the segment, the longer the download time for the person viewing the portfolio.
ADDING A URL
Add URL allows the students to add URLs (websites) to their portfolio. The student needs the title, description and the URL. Then click “Add URL”.
*Note “Add URL” gives the student the ability to add active links. Keep this in mind when adding URLs.
- There is no limit to the number of URLs that can be saved to the portfolio.
- If a student has a pop-up blocker on their computer, when they view the portfolio, they will need to hold the Control key when they click on their links as the links for the files and websites open in another window.
SPELL CHECK
Make sure you spell check before you save.
SAVE AND “SAVE AND EXIT”
Save—This will save the experience being editted without leaving the screen. *USE THIS OFTEN!! There is no prompt to remind the student to save. If they leave the portfolio prior to saving their work, they will lose all of the information they entered.
Save and Exit—When the student is finished editing the experience, “Save and Exit” will save the changes and take the student back to the summary of that category. The student can continue adding experiences, edit, delete or return to the main menu.
EDIT
The student can edit any experience they wish.
DELETE
To delete a file the student MUST have their password. Once the student has deleted a file IT IS GONE!
VIEW THE CAREER PORTFOLIO
This is the version of the portfolio that will be seen by those people to whom the student sends their portfolio. NO ONE will be able to change, delete or edit anything on the student’s portfolio.
SEND A LINK AND THE PORTFOLIO DISK
Send a Link—The student can send a view only version of their portfolio to anyone with an email address. The student can also include a message such as a cover letter. It is only a link to the portfolio that the student is sending, not the portfolio itself.
Portfolio Disk—The first time the CD is burned, you must contact the Career Services Center.* You can request instructions for burning the CD (along with the necessary files) or you can schedule an appointment to bring a CD to the Career Services Center and we will burn the link for you. You can make as many copies of the CD as you would like.
You can bring in a normal CD-R or CD-RW, or go to the bookstore and purchase the business card CD for $6.00.

VIEWING YOUR PROFESSOR’S NOTES
Your professor can leave notes/comments on different experiences. These comments ARE NOT viewable when you send your to someone else. When the professor adds comments to your Portfolio, the a notification will be sent to the e-mail address that is defined in the Portfolio (see above). You must log in and view your Portfolio in order to see the comments that have been made.
CHANGING YOUR NAME ON YOUR PORTFOLIO
Yes, you can have your name changed, just e-mail with your request. Be sure to include your KSU ID number, and specify how your want your name to appear on your Portfolio.
FILE PROBLEMS
- Make sure that your file names are as short as possible. If you upload your resume as "Kelly's resume 7/24/03.doc", you'll probably have some problems. To solve this, take out any special characters & spaces. Keep it as simple as possible (you could just name it resume.doc).
- Make sure that the file you are opening is one that you have the appropriate software for. For example, if you are trying to view a Microsoft Publisher file and you do not have Publisher on your computer, you are not going to be able to view this file. If you have Microsoft Publisher, but you're not sure if the people you will be sending your portfolio to will, then save it as a common file format, such as Word (.doc) or an HTML document. This will help your files to be more universal, making them accessible to more people.
Help!!
- You know sometimes when you've been on your computer for a while and your start to get errors, you can just restart and everything will be fine again? The same thing can be true for any program. If you are getting errors in the portfolio (for example, you're uploading your resume and you get an error about "the program has an internal error"), back out of the section that you're working on, then go back in again. You can also just close your browser and log-in again.
- If you try several things and it doesn't work, e-mail .
- Make sure you are using Internet Explorer; it is the only browser that is currently supported for the Portfolio.
